Convocation Election Procedures/Guidelines & Final Voters Register April 2025

a) Candidates for election shall be nominated in writing by at least two (2) members entitled to vote (who MUST be fully paid-up members).
b) The candidate shall submit evidence of payment and document of affiliation that’s to say Transcript for all former students and Letter of appointment for Staff Members.
c) Nomination forms shall be picked and submitted to the General Secretary.
d) After closing nominations, no new candidates will be allowed to submit their applications for any position.
e) Candidates shall submit 2 passport photos to the General Secretary.
f) Any candidate who wishes to withdraw from the race after nominations have been closed MUST officially write to the General Secretary not later than 72 hours to the voting date.
g) Election of office bearers shall be conducted by secret ballot, starting 8.00am and closing 4.00pm.
h) The voter’s register will be published at least three weeks before the voting date by the General Secretary.
i) Inquiries and complaints about the voters’ register should be lodged in not later than two weeks to the voting date.
j) All voters will be required to produce their Identification; Staff should produce their Staff Identity Cards and Appointment Letters, the Alumni should produce an ID and a certified copy of their Academic Transcript.
k) The General Secretary shall count the votes immediately after voting and the winner shall be announced on the same day of voting.

l) In the event that candidates get the same number of votes cast at an election, the election exercise shall be repeated to determine the final winner.
m) No candidate shall be allowed to campaign at the polling stations and no posters will be allowed anywhere near the polling station.

DISQUALIFICATION GROUNDS

Any candidate shall be disqualified on the following grounds;

(i) Using abusive language, demeaning content or insulting statements against any other candidate or supporters, directly or indirectly.
(ii) Fighting and violent approaches towards the other candidates. Violence will be termed as either verbal, nonverbal or physical.
(iii) Any candidate convicted under the computer misuse act or media misuse for purposes of affecting another person(s) candidature in a way that kills the image of another candidate.
(iv) Defamation, blackmail and character assassination of any nature by any candidate using any means will lead to automatic disqualification of a candidate.
(v) Candidates are strongly warned against submitting forged documents as this will lead to automatic cancellation of their candidature and prosecution in the courts of law.

    Are are Alumni who have not paid annual subscription allowed to vote? If not, how much is the subscription fees and how is this paid.
    Can you also share the list of activities undertaken by the convocation over the years and how we can contribute/donate.
