Convocation Election Procedures/Guidelines – 2026

  1. Candidates for election shall be nominated in writing by at least two (2) members entitled to vote (MUST be fully paid-up members).
  2. The candidate shall submit evidence of payment and a document of affiliation, that is to say, a Transcript for all former students and a Letter of appointment for Staff Members.
  3. Nomination forms shall be picked and submitted to the General Secretary.
  4. After closing nominations, no new candidates will be allowed to submit their applications for any position.
  5. At the time of application, candidates shall submit 2 passport photos to the General Secretary.
  6. Any candidate who wishes to withdraw from the race after nominations have been closed MUST officially write to the General Secretary not later than 72 hours before the voting date.
  7. Election of office bearers shall be conducted by secret ballot, starting at 8.00 am and closing at 4.00 pm.
  8. The voter’s register will be published at least three weeks before the voting date by the General Secretary.
  9. Inquiries and complaints should be lodged in not later than two weeks to the voting date.
  10. All voters will be required to produce their Identification; Staff should produce their Staff Identity Cards and Appointment Letters, the Alumni should produce an ID and a certified copy of their Academic Transcript.
  11. The General Secretary shall count the votes immediately after voting and the winner shall be announced on the same day of voting.
  12. In the event that candidates get the same number of votes cast at an election, the election exercise shall be repeated to determine the final winner.
  13. No candidate shall be allowed to campaign at the polling stations and no posters will be allowed anywhere near the polling station.

Disqualification Grounds

Any candidate shall be disqualified on the following grounds;

  1. Using abusive Language, demeaning content, or insulting statements against any other candidate or supporters, directly or indirectly.
  2. Fighting and violent approaches towards the other candidates. Violence will be termed as either verbal, nonverbal or physical.
  3. Any candidate convicted under the Computer Misuse Act or Media Misuse Act for purposes of affecting another person(s) candidature in a way that kills the image of another candidate.
  4. Defamation, blackmail, and character assassination of any nature by any candidate using any means will lead to automatic disqualification of a candidate.
  5. Candidates are strongly warned against submitting forged documents, as this will lead to automatic cancellation of their candidature and prosecution in the courts of law.
  6. Any other grounds as provided for by the Laws of Uganda, University Policies and Guidelines.
